Provable data for audit compliance
Driven by new regulations and responsibilities around compliance, the housing sector’s approach to reporting is finally shifting away from reactive maintenance towards the proactive monitoring of properties via smart devices.
While there’s been much discussion around reporting and housing providers’ ability to conduct pre-emptive maintenance on their properties, there have been fewer conversations around auditing, itself another area that hugely benefits from the constant feed of high-quality data that IoT infrastructure and devices provide.
Auditing might receive a smaller share of the conversation but it stands to gain a great deal from the increasing adoption of IoT systems.
Most housing organisations aren’t struggling to collect data concerning their properties, but they may struggle to defend their data if challenged.
Mind the gap
There’s a very real gap between the ‘good enough’ data used for internal reports and auditable data that can be explained, justified and evidenced if challenged. Managing this gap is essential because increased regulation is placing housing providers under new levels of scrutiny.
Between 2019 and 2025, the Housing Ombudsman saw a significant increase in complaints from residents, with reports citing an increase of almost 500 per cent in complaints relating to poor property conditions. Housing providers should expect more questions about the quality of residents’ homes going forwards and any answers they give must be backed by provable data.
Not only does the gap between reporting and auditing exist, but it’s also getting wider. While reporting is episodic, compliance benefits from continuous evidence. A traditional approach might see reports compiled on a monthly or quarterly basis, but recent regulations are pushing the housing sector towards proactive, continuous and ongoing assurance.
Numbers under pressure
Too often, the data used for reporting is incomplete, inconsistent or manually compiled. Reporting often relies on manual data entry, exporting and combining spreadsheets or ‘cleaning’ data before it is presented. While this might pass muster for internal reports, it poses a serious problem for auditing and lacks the paper trail necessary to demonstrate how the figures were reached.
A report can look completely correct, even when the underlying data has problems. For example, data from different systems might not match, updates might be delayed or manually entered or some cases might be missing altogether. In a report, these problems can be hidden, averaged out or otherwise invisible, but during an audit they become obvious.
An auditor might ask to see specific repair records or evidence that supports an organisation’s timeline of events. For example, in an incident of mould in a resident’s property, a housing provider might be asked to demonstrate when the complaint was first registered and what steps were taken to address the problem. It’s requests like these that expose the unreliability of ‘good enough’ data.
Where reports have been built manually, this could result in working backwards to understand where the numbers have come from, reconstructing timelines or asking across teams to discover the truth behind the numbers – a task that becomes even harder when adjustments and informal workarounds have crept into the process.
This problem is exacerbated when regulatory data is spread, split or siloed across departments, making it even harder to establish one consistent source of truth. In a best-case scenario, organisations spend longer to understand their figures; in a worst-case scenario, the data is never truly understood.
Demonstrating data
Audit-readiness depends on evidence and traceability. Organisations must be able to demonstrate where data comes from, how it’s been calculated and who has approved it, rather than relying on headline metrics.
Improvements to reporting and auditing can’t be achieved through point solutions or individual initiatives; they require a wider organisational approach to the gathering and handling of data. However, as housing providers adopt new, proactive monitoring systems built around IoT devices and platforms, audit compliance becomes increasingly easy to achieve.
IoT devices introduce real-time, verifiable data – timestamped, objective and auditable. By drawing information on a massive variety of property conditions direct from residents’ homes, they provide in-depth insights without the need for manual reports or updates.
These devices provide a unified data channel and a single source of truth which can then be used and trusted across departments and teams. Consolidating data from multiple systems into a single, consistent framework is essential to ensure that figures are aligned, comparable and defensible across reporting and audit processes.
This audit-ready approach sees data recorded and timestamped as the events themselves happen, removing the need to retrospectively reconstruct a timeline. All information can be traced back to specific devices and sensors, introducing a layer of inherent provability to all figures and findings.
Additionally, IoT infrastructure creates a system where anomalies and mistakes can be identified and diagnosed immediately. Data points can be compared to historical figures and in the case of a faulty reading, the source can be pinpointed to a single device. ue to smart devices providing a continuous source of information, it’s easy to spot when faults develop and what timespan has been affected.
Automated and audit-ready
Regulatory expectations continue to evolve across the housing sector, necessitating better reporting and the ability to evidence and defend those reports and the data behind them.
While reporting remains essential to any housing provider, it’s not enough in isolation; fragmented and unreliable data can’t be considered ‘good enough’. Housing organisations are being pushed to know more about the quality of their residents’ homes and act swiftly to prevent or mitigate hazardous conditions, and it’s essential that this can be provably demonstrated as required through audit.
Fortunately, the same devices and systems enabling better standards of property monitoring also offer continuous, verifiable records, supported by clear timelines. By capturing data at source and recording events as they happen, housing providers can move from ‘good enough’ reporting to transparent, defensible compliance.
