Email compliance for Twin Valley Homes

Twin Valley Homes, responsible for 8000 homes in the Blackburn area, has faced up to its legal responsibilities concerning stringent electronic data legislation by implementing Waterford’s email management and archiving system.

The importance of email has led to the development of legislation regulating its use in the corporate environment, such as the Regulation of Investigatory Powers Act requiring organisations to respond to requests for a particular email within 24 hours.

With 20,000 emails being sent and received each month, Twin Valley Homes needed to improve its email management and make compliance easier. It chose Waterford’s MailMeter because it provided on-demand email retrieval at lower costs; organisations have typically reduced research time by 70-80 per cent in the first few months of MailMeter’s implementation.

Being able to quickly search for emails by person, subject heading, and also words within the body of the email or attachment means Twin Valley Homes is better able to find relevant emails and avoid legal penalties. The solution also provides insight into employee productivity and performance, and helps to ensure compliance with the organisation’s email policy.

Lee Richardson, network manager, Twin Valley Homes, said, “MailMeter provides us with a cost-effective solution for compliance. Not only does it provide protection against legal penalties, but also makes it easier for employees to search critical emails relating to contracts and accounts sent up to two years ago, reducing the time taken to find emails from hours to seconds.”
