Housing management systems only tell half the story without integrated CX
Housing management systems (HMS) carry the weight of core operational data, such as tenancies, repairs and property records. But without integrated customer experience (CX), housing providers can lose critical data and insights from the people who spend the most time in their properties – their residents.
In 2026, data-driven processes and systems are more essential than ever. Housing providers must manage requirements across Awaab’s Law, Tenant Satisfaction Measures, updated Minimum Housing Standards and the Renter’s Rights Act, alongside changes to fire and electrical compliance, plus a new Decent Homes standard on the horizon.
With the government targeting 1.5 million new homes by 2029 and repair costs rising steeply, it’s crucial for housing providers to find cost-effective, scalable repair systems. High-quality data, reporting and predictive maintenance are essential to making them work.
Data underpins so much of what housing providers are required to deliver, with organisations pushed to make the best use of every reporting channel available. However, without a CX solution that connects resident-contact channels directly to the HMS, essential streams of operational information can be consigned to silos.
The other half of the story
By integrating HMS with a leading CX platform, such as Zoom, 8×8 or Vonage, residents’ insights are fed directly into a unified database, no matter which team receives the contact. Back-office staff, field workers and remote agents all work through a shared omni-channel platform, feeding quantitative and qualitative data back into your HMS.
This includes resident-generated videos and images of repair problems. Tools such as 8×8’s Remote Fix provide a secure live-video link, allowing residents to record and log maintenance concerns directly from their homes. These inputs improve first-time-fix rates, accelerate resolutions and surface emerging problems sooner, with all captured information written directly into your HMS. Residents’ insights become an essential, real-time stream to enrich and enhance formal asset records.
Additionally, once your CX and HMS platforms are integrated, information can be accessed through ‘a single pane of glass’, removing the need to switch between applications. Contact histories, asset records and resident-submitted media sit within one unified view, enabling clearer communications, faster diagnoses and more accurate triaging.
Along with call transcripts, sentiment analysis and other contact-derived data, this captures a wealth of information that would otherwise be missed, providing a fuller picture of housing assets. Not only does this contribute to higher tenant satisfaction scores, it also enables organisations to notice patterns across housing stock for efficient, scalable repairs. Stronger integrations between HMS and CX solutions also allow for automated alerts, building an interwoven system that provides real-time triggers for timely responses.
Let them talk
Automation is reshaping how HMSs support monitoring and repair triage, and those capabilities rely on constant, up-to-date data. CX integration provides that stream, consolidating residents’ interactions across voice, messaging and digital channels directly into the HMS. This removes manual updates and ensures real-time resident insights become part of the data pipeline, thereby avoiding the bottlenecks that happen when automated processes rely on manual data entry.
Using bulk-uploaded spreadsheets, manual data-entry, parallel databases, apps and portals to keep your HMS updated is a recipe for fragmented data, siloed information and duplicated efforts across your organisation. Ultimately, the result is more people doing more work with less benefit and in some cases, important information falling by the wayside entirely.
With integrated CX and HMS solutions, data and insights come to you – not through any additional effort by your teams but by capturing the information generated naturally through each customer contact. Rather than adding new processes, this approach connects the channels residents already use directly to your HMS, tearing down silos and enriching your asset data.
Change the channel
Modern CX platforms enable omni-channel communications, giving residents more ways to contact their housing provider across whatever channel suits them best. Alongside traditional channels such as phone or email, organisations can now receive messages via social media chats, WhatsApp and other messaging services, resident portals and more – widening access and ensuring more resident‑generated insight reaches the HMS.
What’s more, omni-channel solutions can carry a single conversation seamlessly across all of these channels as a single unbroken interaction, preserving a complete, continuous record within the HMS.
By broadening the range of options for customer contact, residents who don’t typically engage through traditional channels can be heard. During a recent asset-strategy roundtable, Hayley Hess, head of asset intelligence at Places for People highlighted the importance of engaging “silent voices – customers who may not engage for a variety of reasons. This involves customer-led questions to find out about them and their homes as well as the ability for residents to submit photos”. By integrating these channels with a HMS, those voices and submissions aren’t just received, they become part of a formal asset record.
Always-on assistance
AI assistants can answer routine questions, freeing up contact-centre teams for more complex queries. They can also provide increased opportunities for gathering and updating data in your HMS. Operating across omni-channel routes, with options such as regional-accent support for voice channels, AI assistants ensure residents experience natural, localised interactions across channels.
Outside office hours, these virtual agents continue to support and respond to residents, logging contacts, queries and concerns when contact-centre teams are unavailable. These tools reduce service pressure and provide around-the-clock assistance, thereby serving as an entirely hands-off mechanism that keeps your HMS continuously updated with resident-reported insights.
HMSs remain essential as the backbone of property records but they can’t deliver their full value without the resident-led data that integrated CX provides. Residents hold the earliest, richest signals about home condition, and with the appropriate channels connected to your HMS, this information can become a pillar of your asset management strategy.
In an age of automation, data is the foundation of scalable solutions for housing management. As such, it’s more essential than ever to integrate platforms, consolidate communications and fully-leverage property information.
CX platforms with functionalities such as 8×8’s Remote Fix or Zoom’s Virtual Agent are an optimal source for gathering and recording customer contacts and asset data. HMS integration is the vital step that ensures this information isn’t siloed, enabling informed, intelligent asset strategies.
